Overview

Beyond creating and issuing contracts, Solution Host gives you several tools to reuse, review, and amend contracts. These options help you save time and keep your records accurate.


Using a completed contract as a new template

You can use an existing completed contract as the basis for a new one:

  • Use this when a new employee starts on the same terms as an existing employee.

  • This helps you keep consistency and reduces the time spent editing.

How to use a contract as a template

  1. Go to Contracts and open the completed contract you want to copy.

  2. Use the Template option (where available) to create a new contract based on it.

  3. Update the new contract with the new employee’s details and any differences in terms.

  4. Save, complete, and then issue the new contract as normal.


Viewing a contract as a PDF

Before issuing a contract, you might want to see exactly what the employee will receive.

How to preview as PDF

  1. From the contract record, select View as PDF.

  2. Review the PDF to check:

    • Spelling and formatting

    • Names, dates, and pay details

    • Any special clauses or variations

  3. If you spot errors, go back to the contract editor, update the details, and then preview again if needed.


Unlocking a completed contract for further edits

If you need to change a contract that has already been completed (but not yet issued or where a reissue is appropriate), you can unlock it.

How to unlock a contract

  1. Go to Contracts and open the contract you need to change.

  2. Select Unlock.

  3. Edit the contract details as required.

  4. Save the changes and, if appropriate, reissue the contract to the employee.

When to use Unlock

  • You notice an error before the contract has been issued.

  • You need to update terms before reissuing to the same employee.

  • You have agreed changes with the employee and the Employment Law team.

Always consider whether you also need to communicate clearly with the employee about any changes, especially if they have already seen a previous version.
