Overview
After you edit an HR letter template in Word, you create the actual letter record in Solution Host. This allows you to issue the letter to an employee and track what happens next.
Step 1: Open the Letters area
In Solution Host, go to Letters from the sidebar.
You will see a list of existing letters and options to create new ones.
Step 2: Create a new letter
Click Create New Letter.
In the Title field, enter a clear name, for example:
“Dismissal – [Employee Name]”
“Final Written Warning – [Employee Name]”
“Contract Change – [Employee Name]”
Step 3: Paste your edited content
Click into the letter body area.
Paste the content you copied from Word.
Check that:
All grey fields have been replaced with the correct personalised details.
The formatting looks correct.
Step 4: Save the letter
Click Save.
The new letter now appears in your Letters list and is ready to issue.
