How do I assign a Staff Handbook to employees and track acknowledgements?

How to send a Staff Handbook to staff to read and sign, and see who has completed it?

Overview

After you publish a Staff Handbook, you assign it to employees so they can read and acknowledge it. You can assign it to:

  • All employees

  • Specific departments

  • Individual employees

You then track acknowledgements using the built‑in tracking feature.


Step 1: Open the handbook you want to assign

  1. Go to Handbooks.

  2. Find the handbook you want to send to employees in your list of handbooks.


Step 2: Assign the handbook to employees

  1. Next to the handbook, click the orange Assign button.

  2. Choose who should receive it:

    • Everyone: Assigns the handbook to all employees in the system.

    • Departments: Select one or more departments.

    • Selected employees: Choose individual employees.

  3. Confirm your selection and complete the assignment.

After assignment:

  • The handbook will appear in each selected employee’s My Tasks area.

  • Employees can open the handbook, read it, and then record their acknowledgement.


Step 3: Track who has read and acknowledged the handbook

  1. In the same Handbooks list, find your handbook.

  2. Click the blue Tracking button next to it.

  3. In the tracking view, you can see:

    • Who has been sent the handbook

    • Whether they have acknowledged it

    • The date and time each person signed

Use this information to:

  • Follow up with employees who have not yet acknowledged

  • Demonstrate compliance for audits and internal reporting


Step 4: Re‑issue the handbook after important updates

When you make significant updates to the handbook:

  1. Update the relevant policies and publish a new version of the handbook (if required by your process).

  2. Use the Assign button again to send the updated handbook to employees.

Re‑issuing the handbook after meaningful changes ensures your acknowledgement records stay current and clearly show which version each employee has agreed to.
